Speaker 20s - 50.48s

Welcome to 20-minute tech tips where we break down a specific task or software feature. I'm Liz PERSON. And I am Rachel PERSON. And in this episode, we are talking about how to search for mail in Gmail PRODUCT. We're talking about using Google's Gmail standard view online with JAWS. But before we get into the search aspect of it, let's talk a little bit about why you might want to use this feature and what it can do for you.I know I use it all the time when I'm looking for specific emails. You know, Rachel PERSON, if you send me an email, I'm, you know, might want to filter it even further with using the subject, words that are in the email or maybe even attachments. So, you know, I think, I think we use this feature in, no matter what email we're using, we use this feature in a number of different ways. And so I thought we could just talk about a few

Speaker 150.48s - 56.08s

of those. Right. I mean, most people who have email, you know, they get quite a few emails.

Speaker 256.08s - 60.84s

And so being able to sort and filter them and search for specifically what you're looking for

Speaker 160.84s - 65.62s

from a long time span sometimes is really powerful. Yeah, I completely agree.

Speaker 265.78s - 89.08s

And especially with how many different places we can keep email. So in Gmail PRODUCT, you can organize your email in what they call labels, which are like folders in other email clients. So you'll hear that term labels. And you can organize your email, but, you know, sometimes I don't remember where a certain email might be. Maybe I've moved it somewhere.

Speaker 089.32s - 92.02s

Maybe I've made a rule for it or something like that.

Speaker 292.02s - 175.5s

So I just think there are so many different reasons that search can be very powerful. So we're here in Gmail PRODUCT. Now, I want to also start by just saying that if you are new to Gmail in Standard View or if you would like a refresher, you can stream or download our Parts 1 and 2 Gmail training that we did several months ago from our webinars on demand page. And you can do that by going to Freedom Scientific.com ORG forward slash webinars. And you can locate that webinar and stream or download it in either MP4 or MP3 formats. So I'm here in Gmail PRODUCT. I'm logged into my account. And for the most part, and I'm just going to mention this. We went into a little more detail in our training. But when we navigate web pages, we use what's called the virtual PC cursor. And this is, this allows us to read a web page like we would a document. We don't even realize it's on most of the time. we just use the web page, you know, we navigate, and we use the virtual PC cursor. But when we're using Gmail PRODUCT for the most part, we're going to turn it off. And that is because Gmail PRODUCT is meant to operate much like a desktop application. And Google ORG has provided a lot of keyboard commands that we can use to make it operate in this manner. So I'm going to make sure that my virtual PC cursor is off. I'm going to press insert Z Zulu.

Speaker 0176.4s - 178.78s

It was off, so I'll do that again to turn it off.

Speaker 2179.38s - 179.66s

Off.

Speaker 0180.12s - 183.28s

And there are several different ways to search.

Speaker 2183.36s - 267.34s

We're going to talk about three main things you can do when you search for mail. So when searching, you can search for things like who an email is from, who it's sent to, maybe some words that are in the subject or the body of the email, whether the message has an attachment, and so on. There are a lot of different parameters for searching and filtering your email. And, you know, this is extremely useful if you are looking for, you know, maybe emails that have the word blog post or emails that have the word receipt in them or, you know, anything like that. And you can really filter it down and locate those emails quickly. So the three ways of searching that I'm going to show you are doing just a simple search where we search for some terms, then doing an advanced search where we are presented with a dialogue, much like a desktopapplication, we can tab through there and select our parameters. And then using operators. And these are words or phrases that Google ORG has provided, or characters that Google ORG has provided for us to be able to quickly conduct a search by typing them in. So I'm going to show you all three of those. So I'm here in my inbox.I'm going to press slash to activate search.

Speaker 0268.18s - 274.58s

Search Mail Edit has pop up. All right. We hear search mail edit. So let's say I want to search

Speaker 2274.58s - 280.82s

for emails with the word training. I'm just going to type that in and I'm going to press

Speaker 0280.82s - 287.14s

Enter. Main region. Now I pressed Enter and it's going to present me with those results.

Speaker 2287.42s - 306.44s

If I had used this term training, maybe I'd search for training events or training webinars or things like that, I could have pressed down arrow to navigate the different options, suggestions there for my search. But here we are in this list of results, and I can use my arrow keys to

Speaker 0306.44s - 312.7s

navigate them. Unread, Reddit, quote world back update, Elizabeth PERSON. Dot.Draft 5, FW.C. Webinar

Speaker 2312.7s - 319.12s

blog post has attachment. So somewhere in that message is the word training. It's not maybe in the

Speaker 0319.12s - 326.14s

subject line. Me, tasks for Gmail training part two. There we go. There's one that has the word training and the subject.

Speaker 2326.5s - 347.96s

So because I just typed in the word training and left it at that, I didn't specify any additional filters. It's going to look for the word training in the subject or the body or even the email address, things like that. So it's just going to look for that word. All right. Let's do another search. I'm going to go back to my inbox here with G-Golf ORG,then I for inbox.

Speaker 0348.94s - 352.72s

Main reach. All right. Now let's press slash again.

Speaker 2354.88s - 361.78s

Search mail edit has. All right. So from here I can tab. Inserted training. And it went ahead

Speaker 0361.78s - 366.7s

to inserted training because that's what I just typed. We'll get rid of that here in just a minute, but I'm going to tab again.

Speaker 2366.7s - 369.4s

Search Refinement Toolbar Extended Select List Box.

Speaker 0369.4s - 371.2s

Not Selected has attachment.

Speaker 2371.2s - 375s

So here we have a toolbar with a few options here, like has attachment.

Speaker 0375s - 376.9s

I can down arrow to go through these.

Speaker 2376.9s - 378.7s

Not selected last seven days.

Speaker 0378.7s - 381.4s

Email sent in the last seven days or received.

Speaker 2381.4s - 383.4s

Not selected from me, three of three.

Speaker 0383.4s - 384.1s

Or from me.

Speaker 2384.1s - 389.18s

I'm going to press escape. I don't want to search by any of those filters right now. Inbox. So I'm going to tab.

Speaker 0389.6s - 394.44s

Benner GPE region, search region, advanced search options button. All right. So we have an advanced

Speaker 2394.44s - 398.56s

search options button. I'm going to activate that by pressing space.

Speaker 0399.2s - 405.68s

Search region. Inbox left, paren 65, right, paren end dash strainer 100 at gmail.com ORG dash Gmail document, from edit.

Speaker 2406.06s - 406.74s

All right.

Speaker 0406.82s - 411.46s

So it read me my account that I'm in here, and it said from blank.

Speaker 2411.52s - 435.18s

It said from edit. So this is the dialogue that I was talking about where we can now use this to select our filters. And the first option we have here is from edit. So I know that I have been sent email from, I believe the email address was Vespero Trainer PRODUCT, but I'm just going to type the word Vespero PRODUCT because maybe I don't remember exactly what it was.

Speaker 0435.32s - 441.58s

I'm just going to type Vespera ORG trainer at gmail.com. Vespara ORG trainer at gmail.com. One of one.

Speaker 2441.82s - 449.24s

All right. So one of one. If there were multiple options there, I could down arrow through them. I'm going to press enter to select this email address.

Speaker 0449.74s - 451.92s

From edit, Visberatraraena.com ORG.

Speaker 2452.18s - 459.14s

All right, so it did filter now. It's going to filter from this email address. So I'm going to press tab.

Speaker 0459.62s - 460.58s

To edit, blank.

Speaker 2461.26s - 504.04s

So this is useful because, you know, when we think of two, we think, well, of course the email was sent to me, but maybe the email was sent to a group that you are a member of. So if I was a member of, you know, maybe we had a group called the Sparrow Training ORG or something like that, I could filter it even more by typing that in here so that it would only show me mail from this sender to the group, not specifically to me. Or you could just type in your email address here if you wanted to show you or you could type the word me because that's how Google ORG usually does that. If you just want it to show you mail that was sent directly to you. So I'm going to tab.

Speaker 0504.38s - 505.64s

Subject edit. Blank. Here I could type in words that might be directly to you. So I'm going to tab. Subject edit, blank.

Speaker 2505.64s - 510s

Here I could type in words that might be in the subject. I'll tab again.

Speaker 0510s - 511.5s

Has the words edit training?

Speaker 2511.5s - 516.5s

Has the words. Now it has training from our search before. I'm going to go ahead and backspace that out.

Speaker 0516.5s - 517.5s

G blank.

Speaker 2517.5s - 519s

Let's tab again.

Speaker 0519s - 520.5s

Doesn't have edit. Blank.

Speaker 2520.5s - 544.48s

Doesn't have. So here's how this works. If we had, if we went back to that previous field and we typed the word trainer, we had just left training in that field, maybe I want to filter out anything that mentions webinars. So here I could type in the words or the word webinars. So it would filter out any message that had the word webinars. It wouldn't show me that message.

Speaker 0548.04s - 549.54s

Size operator list box collapsed has pop-up, greater than one of one.

Speaker 2549.54s - 561.12s

So here's where you can choose the size of the message if you know that. So here you can choose whether it's greater than or less than. And then we can tab to this value field and type that in.

Speaker 0561.12s - 564.88s

Size value edit. Size unit list box collapsed has pop-up.

Speaker 2564.88s - 575s

So here we could choose the size unit like MB, megabytes. So if you know the size, you can filter by size there. Let's just keep pressing tab.

Speaker 0575s - 578.16s

Date within list box collapsed has pop up one day.

Speaker 2578.16s - 592.26s

So here you have the date filter where it says, you know, you can filter within one, it's selected one day is selected by default. So within one day of a certain date, I'm going to down arrow here to open this box.

Speaker 0592.56s - 603.46s

Date within list box expanded has pop up. One day. One day. Three days. One week. Two weeks. One month. Two months. Two months. Six months. One year. I'm just going to choose one year. I know

Speaker 2603.46s - 608.04s

that's a big date range there, but I'm going to choose one year. I know that's a big date range there, but I'm going to choose one year by pressing enter.

Speaker 0608.5s - 611.18s

Date within list box collapsed has pop up one year.

Speaker 2611.3s - 612.3s

All right, let's tab.

Speaker 0612.8s - 616.14s

Date, 2024-05-0-02.

Speaker 2616.58s - 622.72s

So this is today's date, and I could edit this just like I would in any other edit field. With my arrow keys, I can...

Speaker 0622.72s - 626.76s

2-2-4-0-5-slat-0-2 blank. I can press right arrow can... 2.024 slash 05 slash 0.

Speaker 2626.76s - 630.2s

I can press right arrow. I could take out the 2 by backspacing

Speaker 0630.2s - 633.36s

and type in 1. So now it's going to read like this.

Speaker 2633.36s - 636.84s

Date at a 2024 slash 05 slash 01.

Speaker 0636.84s - 638.88s

There we go. I'll tab again.

Speaker 2638.88s - 641.28s

Search within all mail, one of one.

Speaker 0641.28s - 647.5s

So this is where you get to choose what label or labels. This is going to choose All Mail.

Speaker 2647.5s - 655.2s

So that could be useful if I don't know where something is. I don't know what label it's in. Or if I do, I can press Down Arrow.

Speaker 0655.2s - 657.2s

All Mail, 2 of 17.

Speaker 2657.2s - 659.4s

And I can down arrow through my options.

Speaker 0659.4s - 662.4s

Inbox, start. Sent mail, drafts.

Speaker 2662.4s - 666.62s

Or I can press I for inbox, for example, for Slater Navigation ORG here.

Speaker 0666.94s - 667.34s

Inbox.

Speaker 2667.82s - 668.5s

And I can enter.

Speaker 0668.94s - 670.36s

Inbox 2 of 17.

Speaker 2671.04s - 672.06s

All right, I can tab.

Speaker 0672.36s - 673.88s

Has attachment checkbox not checked?

Speaker 2674.08s - 683.26s

I could press space here to check this if I wanted to search for messages that have attachments from the sender that we typed in earlier.

Speaker 0683.96s - 685.92s

Don't include chats checkbox not checked.

Speaker 2686.38s - 693.5s

Don't include chats. So if I had chats with this cinder, and I don't want to include them, I could press space here to check that.

Speaker 0693.8s - 694.5s

Search mail button.

Speaker 2694.82s - 697.84s

And here we can search. So I'm just going to press space to activate the search.

Speaker 0698.54s - 709.12s

Search results dash strainer 100 at gmail.com ORG dash email document. Main region, eight columns and two rows. Traynor, test attachment, has attachment, 12 slash 28 slash 23.

Speaker 2709.48s - 712.9s

So now we have our list of results. We can navigate with our arrow keys.

Speaker 0713.12s - 717.36s

Trainer, me too, test attachment. And there we have it.

Speaker 2717.36s - 725.84s

So that's how you can search using the dialogue and really navigate through those filters and refine that search.

Speaker 0726.84s - 728.36s

All right.

Speaker 2729.12s - 751.18s

Now let's briefly talk about operators. So I'm going to show you how to get to a list of operators, how to read more about them. How do you even know which ones you can use? We're going to talk about that in just a minute. But I just want to show you how you can use these. They're very powerful and they are quick. So I'm going to press slash to activate the search again or navigate over here to search.

Speaker 0752.12s - 753.64s

Search mail at it has pop up.

Speaker 2754.02s - 771.92s

And I can use an operator. For example, I type slash. Now I can type from colon and an email address or I could type two colon in an email address, subject colon and a word or phrase things like that so I'm just going to type from colon and I'll type vesparo

Speaker 0773.52s - 778.16s

from colon vespara trainer at gmail.com and i'll press enter main region

Speaker 2778.16s - 783.6s

eight columns and three rows elizabeth dot dot draft 5 fw colon elizabeth whitaker

Speaker 0783.6s - 786.44s

test message 12 slash 28 slash 23.

Speaker 2786.8s - 824.32s

And there we go. So now it's going to list all the results. So those operators really do make it, you know, fast. And you can actually use multiple operators within the same search. So you could say, you know, from, from colon, no spaces. You type in the email address. And then you can, you know, space and have another operator there. You could say subject colon or something like that. So again, operators are just a really quick way of searching. All right.Let's go back to our inbox. Let's talk about how we find a list of operators. How do we get more information about this?

Speaker 0825.12s - 828.98s

This is where I'm going to turn on the virtual PC cursor

Speaker 2828.98s - 838.3s

because I want to navigate to some help information or guides that Google ORG has provided on this page. So I'm going to press insert Z Zulu.

Speaker 0838.84s - 840s

We're going to go to the top.

Speaker 2841.62s - 843.96s

With control home, you don't have to do that.

Speaker 0844.02s - 845.68s

I just want to because it's near the top.

Speaker 2846.18s - 847.2s

Let's down arrow here.

Speaker 0847.48s - 853.3s

None visited link skip to content. None selected. Visit collapsed. Visited link using Gmail PRODUCT with screen readers. All right.

Speaker 2853.34s - 858.24s

Now that says it's collapsed. It's using Gmail PRODUCT with screen readers. We're going to press space to expand it.

Speaker 0858.8s - 859.94s

Keyboard shortcuts link.

Speaker 2859.94s - 863.02s

So there is a link to a list of keyboard shortcuts.

Speaker 0863.44s - 866.04s

Visited link, Gmail PRODUCT, left, parent, standard view, right, parent guide.

Speaker 2866.36s - 874.48s

So here is a Gmail PRODUCT standard view guide. So we're going to press Enter PRODUCT. It's going to open this guide in a new tab.

Speaker 0875.2s - 876.78s

Gmail PRODUCT left, parent, standard view, right?

Speaker 2876.88s - 880.24s

So we still have our email open here and now we're taken to this page.

Speaker 0880.3s - 886.46s

We're taken to this page. We can navigate this guide with our letter H because we can navigate through headings.

Speaker 2886.82s - 888.02s

Use Gmail PRODUCT with a screen reader.

Speaker 0888.22s - 890.84s

Quick start heading level 2 before you begin heading level 3.

Speaker 2890.9s - 898.78s

And so forth. What I'm actually looking for here is the word operators. So I'm going to use Find. I'm going to press Control F, Foxtrot.

Speaker 0899.44s - 900.3s

Just find dialog.

Speaker 2900.64s - 903.4s

And I'm going to type the word operator and press enter.

Speaker 0904.32s - 911.6s

Use search operators to fine tune your results. To use a search operator, insert it prior to the word operator and press enter. Use search operators to fine-tune your results. To use a search operator, insert it prior to the term you're searching for. Some examples would be colon.

Speaker 2911.6s - 920.4s

And here it's going to actually give you examples of operators that you can use. And let's down arrow through this because there's another link here that's important.

Speaker 0920.4s - 928s

List bullet. Left quote bullet. Left quote list and nest bullet. You can combine operators link search operators you can use with Gmail PRODUCT.

Speaker 2928s - 934s

And that's what I'm looking for. It's a link that says search operators you can use with Gmail PRODUCT. I'm going to press Enter.

Speaker 0934s - 937s

Main region. And this is going to take us to another page here.

Speaker 2937s - 941s

And let's press H to navigate to that main part of this page.

Speaker 0941s - 944s

Refine searches in Gmail heading level one.

Speaker 2944s - 945.96s

And I believe these are in a table.

Speaker 0945.96s - 947.3s

Two columns and 30 rows.

Speaker 2947.3s - 950.6s

So we can just press the letter T and then we can down arrow.

Speaker 0950.6s - 953.94s

Search operator, specify the sender from colon,

Speaker 2953.94s - 956.04s

example colon from colon, Amy PERSON.

Speaker 0956.04s - 958.24s

So here it says,

Speaker 2958.24s - 960.34s

From specify the sender.

Speaker 0960.34s - 961.54s

What the operator does.

Speaker 2961.54s - 963.7s

It specifies the sender from colon.

Speaker 0963.7s - 966.98s

It gives us the operator from colon. And it gives us an example.

Speaker 2967.26s - 968.62s

Example colon, Amy PERSON.

Speaker 0968.96s - 975.16s

So there's where you can go to read more about how to use operators and learn about which ones you can use.

Speaker 2975.52s - 977.5s

When you're finished, you can press Control F4 PRODUCT.

Speaker 0978.24s - 980.32s

Inbox left, per and 65, right per end.

Speaker 2980.36s - 997.56s

That takes us back to the inbox. And let's remember to turn off the virtual PC cursor by pressing insert Z Zulu. And now we're back in our inbox, and we could go ahead and navigate and use our Gmail PRODUCT. So that is how you can search for mail and Gmail with Jaws PRODUCT.

Speaker 1998.02s - 1000.08s

This is a really powerful feature.

Speaker 21000.08s - 1014.06s

So this lesson is a great addendum if you've already, you know, participated in some of the Standard View PRODUCT webinars and you are fine-tuning how to use Gmail in Standard View.

Speaker 11014.68s - 1016.1s

All right, absolutely.

Speaker 21016.48s - 1035.86s

And just remember if you would like more training on Gmail, you can access that training I mentioned earlier at freedom scientific.com forward slash ORG webinars, and we will be providing additional Gmail training in the weeks and months to come.
